Office Coordinator, AA East Rand.
The purpose of this role is to provide feedback to people who need information about AA and Area events/activities, ensure literature is available, liaise with other Areas and GSO and to facilitate good communication between the area portfolios. The coordinator must be knowledgeable about the service structure of AA as well as demonstrate knowledge of the AA Traditions.
This salaried position is half-day (5 hours per day, Monday to Friday), plus one meeting per month on a Saturday (2nd Saturday of each month, 2 – 3:30 pm)

Job Description

Literature

  • maintain adequate stock levels.
  • maintain record of sales.
  • maintain price lists and communicate pricing changes.
  • place orders for stock and consignment literature with GSO.
  • Ensure stock is counted and verified quarterly.
  • Reconcile and correct discrepancies.

Office management / administration

  • Computer literacy –basic MS Word and MS Excel competency is required.
  • Provide information/assistance to all who contact the office seeking information about AA activity in the East Rand Area. Refer prospective members to AA members who could assist with twelfth-step work.
  • Manage office correspondence –forward communication to the relevant portfolio holders timeously.
  • Maintain accurate records of office expenditure and receipts.
  • Liaison between the Areas and GSO – distribution of minutes and other communication.
  • Periodic review of group information on East Rand and National websites to check for accuracy.
  • Ensure a meeting place is booked for Area meetings and any other special meetings, rallies or workshops as requested by the Area Chairperson.
    Prepare a monthly report on office and literature activities and submit to the Area Secretary.
  • Maintain office equipment, facilitate upgrade or repair if necessary.
  • Liaise with telephone service provider and bank personnel if required.
  • The office coordinator is one of three signatories on the bank account.
  • Set up and maintain after-hours telephone service.
  • Other reasonable tasks which the Area Chair, Area Treasurer or Area Delegates may require periodically.
  • Develop and maintain good relations between the Area, other Areas, Al-Anon and GSO.

Archive

  • Maintain the Area archival materials, keep accurate records if the Area Chair approves any lending of material.

Alternate Delegate: The alternate serves as a valuable assistant, often traveling with the delegate or giving reports for
them. (Requirement of Minimum 5/6 years sobriety)
Regional Trustee: These trustees are selected for their service experience and familiarity with A.A. principles. While
no trustee can be said to “represent” a geographical section—all trustees represent only the Fellowship as a whole—
regional trustees bring to the board’s discussions a regional A.A. point of view and experience that is invaluable.
(Requirement of Minimum 10 years sobriety)
Intergroup Chair: The Intergroup Chair serves as a valuable assistant to the Area Office by arranging area
events such as (Rally’s, Gratitude Dinners etc.) to assist in raising fund for the Area Office and to create a
platform for members to fellowship, (Requirement of Minimum 3 years sobriety)

Correctional Facilities: The purpose of this portfolio is to assist the carrying of the message of recovery to the
suffering alcoholic in Treatment and Correctional Facilities. The incumbent serves a three-year term (Requirement of
Minimum of 3 years sobriety)
Archives: Archives positions are engaged in the work of setting up an area archives to collect and preserve area history.
Written materials (books, pamphlets, newsletters, written histories), photographs and audiotapes are the foundations of a
collection. (Contact Area Office should you wish to apply for position – sobriety requirement subject to Area
Office & Chair Person)
